OptiSite · Site feasibility platform

Site feasibility that gives your study weeks back.

OptiSite is a site feasibility platform that replaces email-and-spreadsheet Site Feasibility Questionnaires with a living feasibility workflow. Sites answer once and confirm what changed. Study teams compare sites side by side and make selection decisions they can defend.

Built on 14 years of clinical technology delivery across 100+ global studies.

The problem OptiSite removes

Feasibility still runs on email. Everyone pays for it.

Every study, sites re-type the same answers into another spreadsheet, and study teams select sites from inbox archaeology. The numbers add up fast.

Who it’s for

Built for the people who carry study start-up.

One workflow, three sides, no more chasing attachments.

Feasibility & start-up leads

Launch feasibility in minutes

Build questionnaires from your controlled library, publish to every site at once, and watch responses arrive structured and comparable in real time.

Your win: no more version-chasing across inboxes.
Clinical operations & study management

Select sites you can stand behind

Suitability signals, risk flags and side-by-side comparison turn selection meetings into decisions, with reasoning captured as you go.

Your win: defensible selection, inspection-ready by default.
Research sites

Answer once, win more studies

A living site profile pre-fills what sponsors keep asking. Site teams confirm what changed and spend their time on recruitment and delivery.

Your win: hours back on every SFQ.

The platform

From protocol synopsis to site decision, in one place.

Build questionnaires in minutes, not meetings.

Standard questions come out of the box. Your own library stays private, reusable and version-controlled, so every study starts from what already works.

Controlled sponsor question library with search and filters
Draft, review, approve and publish workflow
Published versions locked for inspection confidence

Sites answer once, then confirm what changed.

Living site profiles cover facilities, technology, staffing and regulatory readiness. Smart reuse pre-fills known answers with freshness checks, and role routing sends each question to the right person.

Capability and equipment profiles with validation and calibration metadata
Pre-filled answers clearly badged, time-sensitive facts re-confirmed
Sites flag eligibility, capacity and design issues directly on the questionnaire

OptiSite site capability profile covering facilities, imaging and infrastructure

Decide with evidence, not email archaeology.

Structured responses arrive comparable across sites and countries. Suitability confidence and risk flags focus attention, and every clarification stays attached to the answer it belongs to.

How it works

Four steps. Weeks recovered.

The same feasibility questions your teams ask today, running as a completely different operation.

Attach the synopsis

Sites review the protocol synopsis before they answer, so responses reflect the study you’re actually running.

Publish from your library

Assemble, version and approve the questionnaire, then publish to every site in one action.

Sites confirm and respond

Known facts arrive pre-filled. Sites confirm what changed and focus on the study-specific questions.

Review, decide, document

Compare responses side by side, resolve queries in context and save decisions with a full audit trail.

Governance

Inspection-ready by default.

Feasibility feeds site selection, and site selection gets inspected. OptiSite keeps the evidence without anyone maintaining a tracker.

Immutable versions

Published questionnaires are locked. Every assignment binds to the exact version a site received.

Append-only audit trail

Every workflow event recorded and attributable, from publication to final decision.

Controlled changes

Post-submission edits require a change comment and route back through study team review.

Role-based access

Sites see only their sites and studies. Reviewer guidance never leaks to site users.

Export for filing

Site responses export to PDF for your TMF, with decisions and reasoning attached.

Your library stays yours

Platform questions are shared. Your sponsor library and your sites’ responses are private to you.

Data residency to your requirements
Validation documentation available on request

Questions

What study teams ask us first.

What exactly is OptiSite?
OptiSite is a site feasibility platform. Sponsors and CROs build and publish site feasibility questionnaires from controlled libraries, sites respond through living profiles that pre-fill what they’ve already answered, and study teams review, compare and document selection decisions in one governed workflow.
How does it reduce burden on sites?
Around 81 to 86% of feasibility answers repeat across studies. OptiSite stores those answers in a site-owned profile and pre-fills them on each new questionnaire, with freshness checks on time-sensitive facts. Sites confirm what changed rather than re-typing what hasn’t, and role routing means the right person at the site answers each section.
Is our question library shared with other sponsors?
No. OptiSite provides a standard platform library out of the box, and each sponsor builds their own private library on top. Your questions, your sites’ responses and your selection decisions are visible only to your organisation.
How does OptiSite support inspection readiness?
Published questionnaire versions are immutable, every workflow event is captured in an append-only audit trail, post-submission changes require a documented reason, and responses and decisions export to PDF for your TMF. Selection stops being a black box.
Where is our data hosted and how is it protected?
OptiSite is GDPR-aligned with role-based access control throughout, and hosting is configured to your data residency requirements. Validation documentation is available on request.
